Question: I have ATS (or TTS) and there is data in my database that I want to delete, but I don’t see any option to do so. How do I get rid of (delete) it?
Answer: To prevent accidentally “deleting” or “purging” data records (from which there is no recovery if you haven’t maintained regular data backups, Delete is a function that has to be enabled. To do this, if using ATS or TTS:
Select FILE Tab | Setup Options
(You must have, and logon with, the Global Logon information to access the Setup Options Menu.)
From the Applications Settings Tab, Select Allow Delete & Purge History
(You will now have a Delete Button available on various screens.)
NOTE: Some items can only be deleted if they have no history (check in, out, locations with tools, assets assigned, etc…..) attached to them. If there is data attached to an item, you will first need to remove or delete the lower level information before you can delete the item.
Example: You want to delete a “Location”, but a tool(s) has been assigned to it, and a message pops up that indicates the “Location” can’t be deleted.
First, locate the tool(s), and Delete that tool(s):
If the tool(s) has history attached to it….. it’s been used, checked in/out, etc., you’ll need to go to the Tool History screen and “Purge” its history.
Then you should be able to Delete the Tool.
Then you should be able to Delete the Location
CAUTION: Once deleted/purged, the data is NOT retrievable (unless you’ve maintained regular backups and restore it).
For ongoing use, the recommendation is to use the ACTIVATE/INACTIVATE setting options instead of Delete/Purge. An item no longer required/used can be Inactivated, so it can no longer be used. You can “Activate” it again, should that be necessary. With this process, historical information on the item won’t be lost.
